Setting the scene

A busy professional runs a small business. Their home office is where they do all of their paper work. They approached Revamp Professional Organisers Pty Ltd because they dreaded each quarter as they attempted to compile the paperwork for their Business Activity Statement (BAS). They were usally running 4-6 weeks late as they tried to find missing receipts, bank statements and EFTpos settlement slips.

The plan

During the assessment we focused on clarifying their needs, and asked lots of questions to identify double handling, inefficiencies and bottle necks. Together with our client we determined we needed to:
  • Devise a business filing system that supported the reconciliation tasks that needed to occur in line with our clients preferred frequency.
  • Create a dedicated home for the files that needed to be delivered to the accountant.
  • Devise a separate business mail and home mail system.
  • Devise an easy system to pay bills on time.
  • Organise their two desks in their office to support the systems.
  • Arrange items at optimal locations to improve the ergonomics of the office space.

During the process of devising the business filing system, Revamp Professional Organisers Pty Ltd asked questions to identify double handling and inefficiencies. Following only one session our client was able to devise a list of questions to clarify processes with their accountant. This resulted in a change that is likely to save my client hundreds of dollars in billable hours from their accountant!
